Sheltered Inquiry Cleanup

Automatically close pending inquiries for households that have been sheltered.

How It Works

  1. System tracks when each household was last sheltered

  2. If household was sheltered after submitting an inquiry, it's auto-closed

  3. Status changed to "sheltered" (not "denied")

  4. Note added explaining auto-closure

This typically runs automatically every hour.


Monitoring Rollover

View rollover status across all shelters:

  1. Check rollover logs for each shelter

  2. Verify registrations exist for today's date

  3. Contact development team if issues occur


Security Best Practices

  1. Limit Super Admin Accounts - Only grant to those who need it

  2. Regular Audit - Periodically review who has super admin access

  3. Don't Share Credentials - Each admin should have their own account

  4. Monitor Activity - Review audit logs for unusual activity


Revoking Access

If a super admin leaves:

  1. Disable their account immediately

  2. Review any pending invitations they created

  3. Audit recent changes they made


Troubleshooting

"Super admin access required" error

  • Verify your account has super admin status

  • Try logging out and back in

  • Check with another super admin to grant access

Can't see a provider

  • Check if it's in the hidden test providers list

  • Verify the provider exists

  • Check provider status (might be inactive)

Invitation not being redeemed

  • Verify EIN matches exactly (9 digits, no formatting)

  • Check that no existing provider has that EIN

  • Confirm invitation isn't expired or cancelled

User can't log in after being enabled

  • Have them clear browser cookies

  • Verify their account is fully enabled

  • Check for other account issues
